• • OS: Presentation/explanation of existing FOLIO Acquisition concepts
    • for OA we would rely on and use existing FOLIO Acq functionality
    • encumbrances are always attached to Orders at the moment, there is currently no way to create encumbrances without orders; this will be discussed more with Acq PO/dev team
      • AO: for books and larger amounts that would be possible
    • OA request will link to Invoices
  • OS: Discussion on needed fields for expected costs
    • just local currency is sufficient for the group
    • MB: who is going to pay parts of the invoice (total amount, share of fund used, share of the author)
    • OS: Do you need to know who will invoice?
    • AO: Financial info we record include: original amount, € amount, VAT, amount as recorded in our Finance System (SAP) - retrospectively entered; in original amount we also Mention: list Price and Discounts due to Agreements -> could go into description type entry.
    • VG: We track: original amount, discount, due amount, due amount +VAT (also in spreadsheets)
  • OS: Do you have more then one organization to pay for one OA request?
  • AO: requirement for Reports, eg. was the Agreement worth the cost (Discounts x number of articles vs. cost of Agreement). during the year: how close do we come to break even.
